Job Description

Vortex Strategy & Recruitment is actively seeking a Corporate Legal Assistant for its client, a renowned national law firm based in downtown Montreal.

You will contribute to managing the practices of legal professionals in the Emerging High Growth department through administrative and secretarial support, thereby enabling legal professionals to provide enhanced service to clients.

Your Role and Responsibilities

  • Editing and formatting documents (letters, memos, file notes, opinions, procedures, etc.)

  • Transcribing documents from handwritten notes and telephone messages

  • Comparing documents using DeltaView

  • Updating client lists

  • Direct communication with other legal professionals during partners’ absences

  • Preparing materials when the legal professional is a speaker (PowerPoint)

  • Opening new files

  • Answering the phone and following up on internal and external calls as required

  • Initiating conference calls

  • Managing the professional’s calendar

  • Managing emails

  • Researching, entering, and updating data in OnePlace

  • Booking travel, cars, hotels, and restaurants

  • Reserving conference rooms for meetings, videoconferences, and client meetings

  • Preparing conflict search requests and forwarding them to the appropriate individuals

  • Reviewing and validating time entries on a weekly and monthly basis

  • Preparing expense reports, obtaining approval when required, and following up

  • Handling billing

  • Assisting other legal professionals as well as assistants within the department or other departments when required

Requirements

  • A minimum of 7 years of experience in a Corporate Legal Assistant position

  • Ability to manage multiple priority files simultaneously while meeting deadlines

  • Mandatory bilingualism (spoken and written French and English)

  • Strong ability to prioritize and excellent organizational skills

  • Exemplary team spirit

  • Ability to work with individuals at all levels of a law firm

  • Ability to work in a fast-paced and dynamic environment

  • Strong analytical and problem-solving skills
